School book fair volunteer and logistics playbook

⚠️ General guidance — follow your school's vendor contract and media-consent policy.
Quick answer: A book fair runs on early volunteer recruiting, clear shift roles, cash/card handling, and a media-consent rule so kids aren't named or tagged in promo photos.

Steps

  1. Confirm dates, vendor (for example Scholastic) and whether the fair is in-person, online or both with the school office.
  2. About 6–8 weeks out: recruit a chair plus shift leads; use specific role asks (cashier, floater, setup, teardown) rather than a vague 'help needed' blast.
  3. Build a SignUpGenius (or similar) with short shifts and a short how-to for each role.
  4. Week before: confirm cash box / card reader, wishlist for classrooms/teachers, and preview night if you offer one.
  5. During the fair: one person owns cash reconciliation each shift; keep student helpers off cash drawers.
  6. Media rule: no kids' full names or tagged faces on public PTA posts unless you have current media consent on file — prefer product shots, tables and posters.
  7. After: thank volunteers within a week, report proceeds, and note what to change next year.
