Teacher Appreciation Week planning checklist for a PTA or PTO

Quick answer: Confirm the current year's National PTA and NEA dates early, form a small committee with a budget, ask staff how they prefer to be thanked, then run a simple one-idea-per-day week with thank-you notes, certificates and #ThankATeacher posts—no obligatory gift spend for families.

Steps

  1. Confirm dates for the upcoming Teacher Appreciation Week on National PTA and NEA (dates shift by year). Put the week on the PTA calendar 3–4 months ahead.
  2. Form a 3–5 person committee and set a budget the board approves. Decide what is PTA-funded vs optional classroom gifts so families never feel pressured to spend.
  3. Ask teachers and staff (anonymous short form) what they actually want: notes from students, coffee/snack cart, duty coverage, supply restock, or quiet work time. Skip scented candles if allergies are a concern.
  4. Download National PTA's free Celebration Toolkit (thank-you cards, certificates, flyers, coloring pages, social graphics) and adapt to your school colors.
  5. Draft a one-activity-per-day plan (for example: student notes Monday, staff breakfast Tuesday, certificates Wednesday, student art Thursday, principal shout-outs Friday). Recruit volunteers with SignUpGenius or your school tool.
  6. Message families two weeks out: how to participate, that gifts are optional, and where to drop notes. Coordinate with the principal so classroom time is protected.
  7. During the week: post once a day with #ThankATeacher if your PTA uses social, and include specialists, aides, custodians and office staff—not only homeroom teachers.
  8. After: send a short thank-you to volunteers, note what worked in the board folder, and capture ideas for next year.

Budget-friendly ideas

  • Student and family handwritten notes beat pricey gifts for many teachers.
  • Use National PTA certificates signed by the principal or PTA president.
  • Partner with a local coffee shop for a donated drink cart if your district allows it.
  • Offer 15-minute duty coverage so teachers can take a real break.

Before you promote a toolkit offer

National PTA's event page links a free Celebration Toolkit and may mention partner programs (for example Walmart Spark Good). Confirm current toolkit links and any third-party offer details on the National PTA page before you promote them to families.

FAQ

When is Teacher Appreciation Week?

Dates change each year. As of this page's research, NEA listed May 4–8, 2026 (National Teacher Appreciation Day May 5), and National PTA listed May 2–8, 2027 for its next featured week. Always confirm the current year on National PTA and NEA before you print flyers.

Do families have to buy gifts?

No. Plan so appreciation works even if families only write a note. Say clearly that gifts are optional and that the PTA is covering building-wide thanks.
